Who we are

This site is a free voting app made for parties at Gulbar, 636 10 Ave SW, Calgary, Alberta. Gulbar is responsible for the personal information collected here. Using it costs nothing.

Questions, access or corrections: send a DM to @gulbar_yyc on Instagram or ask Gulbar's management at the bar. They answer privacy questions for Gulbar.

Short version

We collect as little as possible, only to run the costume contest and the gift draw. We don't sell it, we don't use it for ads, and there are no analytics or trackers. Everything is deleted automatically 48 hours after the last draw of the event.

Guests who vote

• Your voting code and your vote: which costume the code voted for, and when. Codes are on anonymous cards and aren't linked to your name.
• A vote receipt (like 7F3A-91C2) so you can check your vote was counted.
• Your Instagram handle, only if you type it in. It enters you in that night's gift draw so we can contact the winners.
• Your consent to future messages, only if you tick the box. It's never pre-ticked. See "Messages about future events" below.

Contestants

• Photo and costume name: shown publicly on the voting page and leaderboard. Staff take the photo with your permission, or you send it yourself from the contestant page and confirm you're 18+ and agree to it being shown.
• Email, and phone if you give it: so the host can reach you, for example if you win. Only event staff see these; they're never shown on the site.
• Entries you send yourself stay hidden until the host approves them. Rejected entries are deleted right away. Ask staff and your photo is removed at any time.

Technical data and cookies

We use only cookies the site needs to work. None are for advertising or analytics, so there is no cookie banner.

Your IP address is used the same way, only to block guessing and flooding. Fonts and all other files are served from this site itself; your browser doesn't contact Google or any other third party.

Who can see it

• Everyone: approved costume names, photos and vote totals.
• Event staff only: contestant emails and phone numbers, Instagram handles, which code voted for whom, and the admin log.

Where it's stored

The site runs on Cloudflare (Workers and D1), our hosting provider. Cloudflare may store and process this information on servers outside Canada, including in the United States, where it may be accessible to authorities under local law. Cloudflare only stores it for us and doesn't use it for anything else. To ask about how our service provider handles it, contact us as above.

How long we keep it

All data is deleted automatically 48 hours after the last draw of the final night. That covers votes, codes, receipts, Instagram handles, photos, contestant emails and phone numbers, IP records and logs. Nothing is kept or backed up after that.

The site runs only for the event. Afterwards it is taken down or reused for another party, starting from an empty database.

Messages about future events

If you ticked "Keep my Instagram" when voting, Gulbar keeps your handle after the deletion and may message you on Instagram about future draws and events. Only ticked handles are kept; nothing else about you (vote, code, IP) goes with it. Every message comes from @gulbar_yyc, Gulbar, 636 10 Ave SW, Calgary. To stop, reply "stop" or DM @gulbar_yyc at any time, and you're removed within 10 business days.

Your choices and rights

• You can vote without giving your Instagram handle. You just won't be in the gift draw.
• You can enter tonight's draw without agreeing to future messages. Leave the box unticked.
• You can ask to see, correct or remove what we hold about you (your handle, photo or contact details) before the automatic deletion. Ask staff at Gulbar or DM @gulbar_yyc.
• You can withdraw consent to future messages at any time, as above.

We handle personal information under Alberta's Personal Information Protection Act (PIPA). If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta.
